Terms and Conditions

By placing an order with Reflection Chauffeurs London LP you agree that you are legally capable of entering into binding contracts and you are at least over 18 years old.

 

Definitions:

“Acceptance”- the client’s acceptance of the booking which shall be deemed to incorporate the Terms and Conditions.

“Terms and Conditions”- the terms and conditions for the provision of services set out.

“Airport Transfer”- the provision of a service between an airport and destination specified by the client and agreed by the Reflection Chauffeurs London LP.
“Charges”- the charges set out by Reflection Chauffeur London LP for the services as set out in the Acceptance, or as otherwise already agreed with client.
“Chauffeur”-the driver of the Vehicle provided by Reflection Chauffeurs London LP to provide an agreed service for the client.
“In writing”- written or electronic form.
“Booking”-the purchase of a service by the client from Reflection Chauffeurs London LP.

 

Booking:
Reflection Chauffeurs London LP will make every effort to assist their clients 24/7. We will always strive to exceed expectations, but 24 hours notice may be required to prepare the chauffeured vehicle for your specific journey. All Prices are quoted in GBP. Return journeys on the same day may be charged a waiting time and please note that return journeys may be completed by another chauffeur. Return journeys booked on the same day for any sporting events or concerts/exhibitions will be charged a waiting time from drop off till pickup time plus car park charges, unless the Client and Reflection Chauffeurs London LP reached an agreement before the service started. Clients will be charged for any interior or exterior damage they cause to the vehicle. We may provide subcontracted vehicles occasionally. If there are any changes or variations including extra mileage to the journeys other than what was agreed at the time of booking, the client will be charged extras in accordance with the pricing structure on our website. We reserve the right to change your vehicle or chauffeur at any time if necessary.

Waiting time:
All services collecting from a flight in to a UK airport include 30 minutes complimentary waiting time. All other journeys include 15 minutes complimentary waiting time. After complementary waiting time is up, however, additional waiting time charges will be applied.

Payment:
All charges specified here are payable in advance except for where the client has a credit account or a credit card pre-approved by Reflection Chauffeurs London LP. The credit/debit card provided when making the booking will be charged for any additional charges e.g. extra waiting time, parking or Meet & Greet. 
Credit card payments are subject to a 5% surcharge. Debit cards have no surcharge. 
All prices are exclusive of VAT charged at 20%. Rates are subject to change at any given time by Reflection Chauffeurs London LP.

 

Payment terms:
If the booking is not from an account client, it has to be paid in full in advance. All additional charges will be added after the service is complete. The charge on your credit card statement will be shown as Reflection Chauffeurs Limited. Account client payment must arrive within 30 days after the service, otherwise additional fees will be applied.

Cancellation and Refund:

Cancellation policy: If the booking is cancelled by the Customer less than 24 hours before the service, the booking is 100% non-refundable. If the booking is cancelled more than 24 hours in advance, the booking refund is 50%. For all wedding related booking at least 1 months notice must be provided to cancel wedding bookings. Otherwise if cancellations are made within one month 50% of the booking fee will be charged. If cancellations are made within 14 days of the booking date the full amount will be charged. If the cancellation is made 24 hours before the booking is scheduled £20 administration fee will apply on top. 
In the case of multi-car booking: If service cancelled more than 24 hours but less than 7 days, 50% of the booking will be charged for each vehicle. If cancelled less than 24 hours, 100% charge for each vehicle is applied.

Reflection Chauffeurs London LP is not responsible to pay for any missed flights.


Exceptions:
Every effort will be made by Reflection Chauffeurs London LP to ensure punctuality of our vehicles or sub-contractor vehicles, however, we will not be responsible for any failure to perform, or delay in performance of, any of our obligations caused by an event beyond our control. An Event beyond Our Control is defined as any act or event beyond our reasonable control, including Acts of God, war, invasion, hostilities (whether war declared or not), civil war, revolution, rebellion, without limitation traffic delays, punctures, accidents, road closures due to accidents and vehicle break downs, strikes and lockouts. In case of vehicle break down, punctures or accidents – we will do our best to finish the journey with another fellow chauffeur, but will not guarantee arrival time. Storm, flood, snow, earthquake, subsidence, epidemic or other natural disaster, or failure of public or private telecommunications networks is also considered beyond our control. If an Event beyond Our Control takes place that affects the performance of our obligations under a Contract: we will contact you as soon as possible to notify you. Our obligations under a Contract will be suspended and the time for performance of our obligations will be extended for the duration of the Event beyond Our Control.

 

Chauffeuring and cars:

Our chauffeurs will drive at reasonable speeds according to their judgement of the prevalent road conditions, weather conditions and traffic at any particular time of the day. When a client desires to travel to a particular place, the chauffeur will, unless specifically otherwise instructed, travel by the route which is, in the chauffeur’s opinion, the best and most convenient for driving, whether the route is the shortest or not, and no allowance will be made to the client on the ground that the route adopted is not actually the shortest, unless a specific route is requested and agreed on at the time of booking by Reflection Chauffeurs London LP. Only the Chauffeur is allowed to drive the vehicle.

Reflection Chauffeurs London LP vehicles and sub-contracted vehicles are fully insured for passengers and third party claims.
Clients’ properties are carried entirely at their own risk and Reflection Chauffeurs London LP shall not be held responsible/liable for any loss/damage to such property.

 

Child seats:
Children seats must be requested at the time of the booking, otherwise Reflection Chauffeurs London LP is not responsible for providing one unless agreed during booking. If the client wishes to install his/her own child seat, it is fully the client’s responsibility to install it and ensure that no interior or exterior damage come to the vehicle. In the case of damage, additional charges will be applied to the client.

 

Animal policy:
Reflection Chauffeurs London LP has a no animal policy in its vehicle unless the client requested in advance and agreed by Reflection Chauffeurs London LP.

 

Smoking Policy:
Reflection Chauffeurs London LP has a non-smoking policy in all its vehicles. 
On public and bank holidays, additional chargers may be applied. Nothing contained in these terms and conditions can affect the Client’s statutory rights.

 

Fraud:

Payments must be authorised by the cardholder named in the booking. Reflection Chauffeurs London LP reserves the right to cancel your booking without prior notice if we reasonably suspect that you or the cardholder are associated with any kind of fraudulent activity. Such suspicion may be based on the following:

  • You cannot provide, when questioned, contact information for the cardholder so that we may carry out security checks;

  • The cardholder did not authorise the payment and claims that the booking is fraudulent;

  • There has been previous fraudulent activity/chargebacks by you or the cardholder;

  • Information given while booking is erroneous/inadequate/inconsistent/linked to fraudulent behaviour;

  • There have been multiple payment attempts with inconsistent data entered.

 

If we reasonable suspect that you or the cardholder is associated with any kind of fraudulent activity we may report you or the cardholder to the fraud department.

Reflection Chauffeurs London LP is a UK company, based in London, and therefore abides by the English Laws, so the client agrees to submit to non-exclusive jurisdiction of the English Courts. These Terms constitute the entire agreement between the parties, supersede any previous agreement or understanding and may not be varied except in writing between the parties. All other terms, express or implied by statute or otherwise, are excluded to the fullest extent permitted by law.
